*Position:* Executive Assistant to the CEO

Key Responsibilities:
* Administrative Duties:
* Manage CEO's calendar, scheduling meetings, appointments, and ensuring no conflicts.
* Handle phone calls, emails, and postal mail addressed to the CEO, filtering out non-essential communications.
* Assist with the preparation of internal and external corporate documents.
* Coordinate with various department heads and manage office logistics.
* Real Estate and Rental Management:
* Coordinate with the Real Estate team to keep tabs on listings, client meetings, and property tours.
* Assist in preparing and reviewing real estate documents, contracts, and agreements.
* Oversee the administrative details of the rental properties, including tenant communications and maintenance schedules, utilities to be scheduled on and off and making sure combo boxes are handled and making the process simple.
* Investment Firm Coordination:
* Schedule meetings with potential and current investors.
* Assist in the preparation of investment materials and presentations.
* Creating Investment Materials and Presentations
* Ensure documentation compliance with relevant financial regulations.
* Office Management and Team Support:
* Act as the point of contact for all agents, ensuring they have the resources and support needed to grow
* Organize team events, training sessions, and meetings.
* Handle procurement of office supplies and manage inventory.
* Personal Assistant Duties for the CEO:
* Make travel arrangements and manage personal schedules.
* Conduct personal errands as required.
* Coordinate personal engagements, family events, and other non-business related activities.
Qualifications:
* Bachelor's degree preferred, or equivalent professional experience.
* Proven experience as an executive assistant or senior administrative assistant, ideally within real estate or financial sectors.
* Familiarity with office gadgets and applications (e.
g.
, e-calendars, copy machines, MS Office Suite).
* Strong organizational, project management, and problem-solving skills.
* Excellent written and verbal communication skills.
* Ability to multitask and prioritize tasks.
* Discretion and confidentiality are a must.
