Job Purpose: The Project Accounting Associate reports directly to the Project Accounting Supervisor.
The Project Accounting Associate is responsible for financial and administrative aspects of the project from beginning to end in collaboration with Project Managers.
The Project Accounting Associate fosters good working relationships with Project Managers, Management, fellow employees, customers and vendors.
The Project Accounting Associate has a broad knowledge in multiple aspects of information technology, and possesses the capabilities of communicating deliverables to customers, internal and external.
The Project Accounting Associate is capable of independent work on tasks associated with specific aspects of projects.
The Project Accounting Associate MUST: Provide a positive “Can-Do” attitude and show positivity through teamwork Deliver excellent customer service skills Ability to respond to information requests Troubleshoot account issues Participate in mandatory training programs Essential Job Functions: Project Costing Manages project budgets in accounting system.
Maintains soft copy job folders for each project.
Obtains any other documentation needed.
Project tracking Monitors budget variances on projects.
Discusses and analyzes progress of projects, including variance with PM’s Procurement Procures all equipment, materials and services required for the projects.
Tracks back orders and coordinates returns.
Forecasting Collaborates with PM’s to update revenue and billing forecasting on a weekly basis.
Updates AR Cash forecasts daily.
Accounts Receivable Issue invoices as projects progress and manages over/under billing.
Responsible for the collections of all outstanding AR on projects and updates cash flow.
Accounts Payable Review and resolve accounts payable issues related to projects.
Processes month end project close-outs.
Customer facing Face-to-face – visit customer sites for making sure is changes are documented change management Responsibilities/Duties Reacts to project adjustments and alterations promptly and efficiently.
Adheres to all company policies, procedures, standards and safety rules.
Performs other tasks or projects as assigned by manager Must be available to work Monday through Friday, 8:00 a.
m.
to 5:00 p.
m.
May be required to work additional hours and/or weekends, as needed, to meet deadlines or to fulfill travel obligations Experience/Education: Bachelor’s Degree (B.
A.
) from four-year college or university At least 5 years’ experience and/or job-related experience Equivalent combination of education/job experience Knowledge/Skills/Abilities: General: Ability to multi-task, prioritize, organize, solve problems, and complete tasks independently or in a team-oriented environment; ability to follow verbal and written instructions, to maintain the confidentiality of data and to accept constructive criticism.
Technical: Excellent understanding of internet technologies, PC and standard Office software and hardware.
Personal: Strong written, oral, and interpersonal communication skills; ability to present ideas in business-friendly and user-friendly language; ability to effectively prioritize and execute tasks in a high-pressure environment.
Communication: Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
Ability to write reports, business correspondence, and procedure manuals.
Ability to speak effectively one-on-one or before groups of customers or employees of the organization, and respond to questions.
Reasoning: Ability to define problems, collect data, establish facts, and draw valid conclusions.
Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
Mathematical: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Computer: Ability to proficiently use computer software programs and related computer applications, Outlook, Excel, WebEx and other Microsoft Office applications and other industry-specific technology tools used within the organization.
Willingness to learn additional software applications.
Physical and Environmental Elements: Physical demands: Ability to sit continuously for over 2/3 of normal work shift.
Ability to stand, walk, and reach with hands and arms, climb or balance, stoop, kneel, crouch or crawl on a regular basis.
Ability to talk and to hear continuously.
Ability to lift up to 10 pounds occasionally.
Finger dexterity is required frequently for over 2/3 of the normal work shift.
Vision: Ability to see at close range (20 inches or less), at a distance (clear vision at 20 feet or more), ability to identify and distinguish colors, ability to observe an area that can be seen up and down or to the left and right while eyes are fixed on a given point, three-dimensional vision, ability to judge distances and spatial relationships, and ability to adjust the eye to bring an object into sharp focus.
Work Environment: Employees work in an office environment.
Noise levels are moderate (such as computers and printers) and temperature conditions are usually controlled.
