Illumination Foundation (IF) is a growing non-profit organization dedicated towards disrupting the cycle of homelessness by providing targeted, interdisciplinary services in our recuperative care centers, emergency shelters, housing services and children's and family programs.
IF currently has 13+ facilities with 22+ micro-communities scattered across Orange County, Los Angeles County and the Inland Empire.
Job Description The Lead Program Coordinator is responsible for coordinating training for the PCs in Orange County.
The Lead PC will engage with the other lead PCs to ensure the transferring of clients to HCM’s transitions accordingly.
Additionally, the Lead Program Coordinator will work closely with the on-site manager to ensure the CSS Program runs smoothly.
The pay range for this position is $26.
00 - $28.
00 per hour, depending on experience.
Responsibilities Health Insurance Reports (depending on ins.
reports come 2 times a month, monthly or quarterly) Maintaining accuracy of various spreadsheets (making sure formulas are working correctly, periodically checking that client caseloads match KIPU and tracker) Completing billing sheets (4 sheets, OC, LA and IE Housing and OC ECM/accompaniments.
Due monthly, should be completed within a week of receiving) Delegating tasks to PC's (assigning clients to new HCM's, splitting up reports when extra help is needed) Sitting in on interviews when needed Updating staff contact list/birthdays, CSS birthday calendar, teams chats and CSS housing group as new employees start Joining Health Network ICT meetings (making sure there is a list of clients, reaching out to leads to make sure HCMs are present to speak on clients during meetings, often have to lead these meetings) Point of contact for Benefits Enrollment Specialist.
Weekly emails regarding eligibility.
(making changes to status of client, pausing, resuming, disenrolling clients based on eligibility status provided by BES.
Ensuring these changes are reflected on PC spreadsheets, tracker and KIPU) CSS email (1-2 assigned days a week, assisting with more difficult emails, ) Reaching out to assigned Lead HCM's if issues arise with their HCM's (audit updates, KPI's not being met, client concerns, etc.
) Completing grievances sent by Health Networks in a timely manner.
Point of Contact for Health Networks questions/concerns.
(responding to emails regarding referrals/clients) Training/onboarding new PCs Developing new trainings/workflows as changes need to be made (disenrollment process, furniture ordering, security deposits, etc.
) Communicating changes being made to PCs and HCM team, as needed Quality control on PC's (ensuring authorization are being requested in a timely manner to avoid lapse in payments, making sure all steps are being followed) Updating capacity on CalOptima Connect (weekly) Troubleshooting issues as they arise (with spreadsheets, authorizations, referrals, portals, etc.
) Quality control/compliance checks as requested by management (leasing audits, WFH audits, etc.
) Audits (creating sheet, assigning to PC's, ensuring they get done correctly and in a timely manner) Jumping in to help with PC tasks as needed (pulling referrals from portal, requesting authorizations, requesting extensions, creating KIPU profiles, assigning clients to HCMs, helping out on another PCs email day if needed.
) Assist with vehicle maintenance, repairs, maintain logs, and purchase orders for the entire Orange County.
Other duties as assigned by manager or as needed by company.
Preferred Experience/Minimum Qualifications Required: 2 years relevant experience.
Basic computer skills, including the ability to send and receive emails and summarize data in spreadsheets.
Valid CA Driver’s License and eligibility for company vehicle insurance.
Excellent organization and time management skills.
Customer and client management.
Strong self-management skills.
Strong computer skills including the ability to prepare correspondence and reports using Google Workspace Applications and Microsoft Office Suite Programs.
Preferred: Bachelor’s degree in human services, child development or other related field.
